Complete GST Calculator & Invoicing Guide for Indian Businesses & Freelancers

The Goods and Services Tax (GST) framework simplifies taxation across India, but manual tax calculations often lead to billing discrepancies, rounding errors, and delayed client payments.

Whether you are an independent freelancer, consultant, agency owner, or retail merchant, understanding how GST applies to your goods and services is crucial.

1. GST Slabs & Tax Components Explained

Under the Indian GST regime, taxable transactions fall under four primary slabs: 5%, 12%, 18%, and 28% (with precious metals taxed at 3%). Most software, consulting, creative, and digital freelance services fall under the 18% GST bracket.

The Three GST Components:

  1. CGST (Central GST): Collected by the Central Government on intra-state supplies.
  2. SGST (State GST): Collected by the State Government on intra-state supplies.
  3. IGST (Integrated GST): Levied on inter-state transactions and imports, collected by the Centre and shared with the destination state.

Key Rule: When you and your client reside in the same state, split the tax rate equally into CGST (9%) and SGST (9%). When billing a client in another state, charge the full 18% as IGST.

2. Inclusive vs. Exclusive GST Formulas

Exclusive GST (Adding Tax to Base Amount)

Use this when you quote a net fee (e.g. ₹50,000 + 18% GST):

GST Amount = (Base Amount × GST Rate) / 100
Total Gross Payable = Base Amount + GST Amount

Example: ₹50,000 × 18% = ₹9,000 GST. Total invoice = ₹59,000.

Inclusive GST (Extracting Base Amount from Gross MRP)

Use this when a product or payment is inclusive of all taxes:

Base Amount = Total Inclusive Price / (1 + (GST Rate / 100))
GST Amount = Total Inclusive Price - Base Amount

Example: For a gross total of ₹11,800 at 18% GST:

  • Base Amount = ₹11,800 / 1.18 = ₹10,000.
  • GST Component = ₹1,800.

3. Essential Checklist for a Compliant Tax Invoice

Every GST invoice must clearly show:

  • Supplier & Customer Registered Legal Name, Address & GSTIN.
  • Unique Sequential Invoice Number & Date of Issuance.
  • SAC (Services Accounting Code) or HSN Code.
  • Itemized breakdown of taxable value and applicable CGST / SGST / IGST.
  • Bank Account details & UPI QR for instant settlement.
